Best Professional Services Automation 2026: PSA Software or AI Agents?
Seven PSA tools priced for a 10-person consulting firm, the work they leave undone, and where AI agents take over. Prices read on each vendor’s page on 22 October 2026.
The short answerFor most consulting firms of 5 to 30 people, the best professional services automation in 2026 is Ruddr: projects, budgets, time, utilisation and invoicing in one plan built for consulting firms, from $14 a user a month billed yearly, with a 30-day trial and no card. Scoro follows a mandate from quote to invoice at €25 a user (invoicing from €15), Furious is the French-made suite from CRM to invoice, and Productive.io costs least for budgets and resourcing ($10 a user). Our service, outside the ranking
Already chosen your PSA, or about to? AI Jungle (our service) sets up AI agents next to it: they read the project, the client record and the last emails, then prepare the proposal, the meeting brief or the follow-up, and a partner approves before anything leaves. It starts with one piece of work that still waits for you. Prepare a free brief: Loïc Guyon reads it before a 30-minute call.
We publish this ranking, so AI Jungle is not ranked in it. No vendor paid to appear, and no link below is an affiliate link.
Find your starting point in three questions
- What costs your firm the most today? Hours never billed and invoices sent late · Proposals and follow-ups that wait for the founder · Both, every month · Neither yet: a few projects at a time
- How many people bill time? Fewer than five · Five to ten · More than ten
- Where does client context live? In the founder’s head and inbox · In a CRM and project files nobody updates · In a project tool we trust
What is professional services automation?
Professional services automation (PSA) is software that runs the business side of client projects: project plans, time recording, resourcing, billing and reporting on utilisation. Wikipedia describes it as software for "project management and resource management for client projects and utilization rate management for billable staff" (Wikipedia). Gartner adds contract management, cost tracking and customer invoicing (Gartner Peer Insights).
One trap for a small firm: the same acronym covers tools for IT service providers, with ticketing and remote monitoring. ConnectWise, Autotask and HaloPSA sit in the same Gartner category as Kantata and Scoro, but they are built for a helpdesk, not for a consulting team.
What does PSA software cost a 10-person consulting firm?
Prices read on each vendor's page on 22 October 2026, excluding tax. The last column is our arithmetic for ten users on the cheapest plan that covers the stated scope.
| # | PSA tool | Entry plan | Minimum seats | What the entry plan covers | About 10 users a month |
|---|---|---|---|---|---|
| 1 | Ruddr | $14/user, billed yearly | Not stated | Projects, budgets, time, expenses, invoicing and payments, utilisation | $140 |
| 2 | Scoro | From €15 ($17)/user, Time-billing | 5 | Time and invoicing; projects and quotes from €25 | From €150; €250 with projects |
| 3 | Furious | €39/user, excluding tax | Not stated | CRM, quotes, projects, time, invoicing | €390 |
| 4 | Harvest | $9/seat yearly, $11 monthly | Not stated | Time tracking, team reporting, invoicing | $90 yearly, $110 monthly |
| 5 | Teamwork.com | $9.99/user, billed yearly | 3 | Projects and billable time; invoicing from $24.99 | $99.90; $249.90 with invoicing |
| 6 | Productive.io | $10/user yearly, $12 monthly | 3 | Budgets, resourcing, projects, time, expenses, reports; invoicing integrations from $25 | $100; $250 with invoicing integrations |
| 7 | Rocketlane | $49/user, billed yearly | 5 | Projects, client portal, time; invoicing from $69 | $490; $690 with invoicing |
Also checked: BigTime starts at $20 a user with invoicing; Avaza costs $11.95 a month for 2 users plus $7 per extra user, about $68 for ten; Kantata and Accelo price on request. Older listicles still quote plans that no longer exist, such as Scoro at $19.90 or Rocketlane at $19 a user, so check the vendor's page on the day you buy.
How did we rank these PSA tools?
We checked five things a firm of 5 to 30 people can verify before paying:
- Cost for ten users with invoicing, on the cheapest plan that bills clients.
- What the entry plan covers, from time and projects to the invoice.
- Minimum seats, which a 3-person firm pays even if it uses fewer.
- Interface language, for a team that works in French.
- Trial terms: length, and whether a card is needed.
First, whether the entry plan already sends invoices (Ruddr, Scoro, Furious, Harvest); then the cost for ten of the plan that covers projects, time and invoicing (Ruddr $140, Scoro €250, Furious €390; Harvest has no such plan); then seats, language and trial. Prices were read on each vendor's page on 22 October 2026. AI Jungle is not ranked: it appears only in the box above the list.
Which PSA tool fits which firm?
1. Ruddr
Best overall for a consulting firm, from time to invoice
- What you get: clients, projects, budget tracking, timesheets, expenses, invoicing and payments, utilisation and profit analysis, an AI assistant and an MCP server, from $14 a user a month billed yearly; resource allocations start on Pro at $24 (Ruddr pricing).
- Why it ranks first: the whole delivery cycle, invoicing included, on the entry plan of a tool built for consulting firms, with a 30-day trial and no card.
- Watch out: resource planning needs Pro, and the pricing page does not mention a French interface.
2. Scoro
Best when quoting and invoicing drive your month
- What you get: combinations from €15 a user (time tracking and invoicing) to €25 (projects and resources, or quote to cash), an ELI assistant with 80 credits a user a month, and an interface in seven languages, French included (Scoro pricing).
- Why it ranks here: it follows a mandate from quote to invoice in one place.
- Watch out: 5 users minimum, so a 3-person firm pays for 5.
3. Furious
Best French-made suite from CRM to invoice
- What you get: CRM, quotes, projects, time, staffing and invoicing in one suite, with Furious AI and API and MCP access, from €39 a user a month excluding tax (Furious pricing).
- Why it ranks here: a French vendor that covers the whole cycle of a consulting firm, from the first quote to the invoice.
- Watch out: €39 is the list price, but you sign after a demo and a quote, and the entry plan covers one business unit.
4. Harvest
Best for simple time tracking and invoicing
- What you get: time tracking, team reporting, capacity and invoicing, with Stripe, QuickBooks Online and Xero integrations, from $9 a seat a month billed yearly ($11 monthly), and a 30-day trial (Harvest pricing).
- Why it ranks here: the fastest way to stop losing billable hours, with invoicing in the entry plan.
- Watch out: it tracks time and bills it; budgets and resourcing stay elsewhere.
5. Teamwork.com
Best if projects come first and billing later
- What you get: projects and billable time from $9.99 a user billed yearly, with AI teammates from the Basics plan; invoicing from logged time starts at $24.99 (Teamwork pricing).
- Why it ranks here: the cheapest project tool here for a team that bills elsewhere for now.
- Watch out: invoicing needs the second plan, with a 5-user minimum.
6. Productive.io
Best for a team that runs budgets and resourcing
- What you get: budgets, resource planning, projects, time, expenses and reports from $10 a user a month billed yearly ($12 monthly), with an AI assistant and AI time tracking on the entry plan (Productive pricing). Invoicing integrations start on Professional at $25.
- Why it ranks here: the lowest cost per person for budgets, resourcing and time, a 3-seat minimum and a French interface (Productive help).
- Watch out: to connect invoicing, plan on Professional: about $250 a month for ten.
7. Rocketlane
Best for firms that run client onboarding projects with a client portal
- What you get: projects, a client portal, time and timesheets from $49 a user billed yearly; resourcing and invoicing from $69; an AI add-on at $29 a user (Rocketlane pricing).
- Why it ranks here: the client sees progress without another status email.
- Watch out: 5 users minimum and the highest entry price on this list.
What does PSA leave undone in a consulting firm?
PSA records the work after it is sold; it does not prepare the work that sells it. In an owner-led firm, the slow parts sit before and around the timesheet:
- Proposals that only the partner can price, rebuilt from old documents each time.
- Meeting preparation: who the client is, what was promised last time, what changed since.
- Follow-up after a call or a mandate, which stops as soon as delivery fills the week.
- Knowledge of past assignments that lives in one person's head or inbox.
PSA assistants, such as Productive's AI time tracking or Teamwork's AI teammates, help inside the PSA: filling timesheets, summarising projects. They do not draft the proposal from your call notes or prepare the partner's next client meeting from the CRM, the inbox and the file.
PSA software or AI agents: which should a firm start with?
| If this is what costs you most | Start with | Why |
|---|---|---|
| Hours never billed, invoices late, nobody knows who is free next month | A PSA tool | It turns time and resourcing into one record you can bill from |
| Proposals and follow-ups that wait for the founder | AI agents | They prepare the documents; a partner approves before anything leaves |
| Both, with 10 or more billable people | Both | The PSA holds the numbers; agents read from it and prepare the client work |
| Fewer than five people, a few projects at once | Neither yet | A shared spreadsheet and a calendar cover it; revisit when you hire |
Ten billable people is roughly where one partner stops seeing every project and unbilled hours start to slip.
How do AI agents work alongside a PSA tool?
An agent works inside the tools the firm already uses. It reads the project, the client record and the last emails, then prepares a draft: a proposal from the call notes and approved offer language, a brief before a meeting, a follow-up after it. A named person approves before anything goes to a client.
Three workflows AI Jungle sets up for firms:
- Proposal preparation: the proposal workflow links call notes, approved offer language and scope, and the partner confirms promise, exclusions and fee.
- Meeting preparation: the meeting preparation workflow assembles the client context before each call.
- Client follow-up: the follow-up workflow drafts the next message after a call, so the relationship does not wait for the end of a mandate.
It starts with the Leverage Assessment: one consultant, two 45-minute sessions and a written report on which work to hand to an agent first. Its price is on our pricing page, and it is deducted in full from the first month if you continue. How should a small firm choose its PSA tool?
- Count the people who log time, then check the minimum seats: Scoro and Rocketlane start at five, Productive and Teamwork at three.
- Check where invoicing starts. On Teamwork and Rocketlane it is not in the entry plan, and Productive's invoicing integrations start on Professional.
- Check the interface language if your team works in French: Productive and Scoro state a French interface.
- Run the trial on one live project, with real hours and one real invoice.
- Ask what the AI does today, on your own data, during the trial.
FAQ
What is the best professional services automation software for a small consulting firm?
For a team of about ten, Ruddr covers projects, time and invoicing for $14 a user a month billed yearly. Scoro covers quote to invoice at €25 a user (invoicing from €15), and Productive.io costs least for budgets and resourcing at $10. Harvest is the simplest choice for time and invoicing alone, from $9 a seat.
Is PSA the same as a CRM?
No. A CRM follows the relationship before the sale: contacts, opportunities, pipeline. A PSA follows the work after the sale: projects, time, resourcing and invoices. Check that your PSA connects to your CRM, so a won deal opens its project without retyping.
Can AI replace PSA software?
Not for the record of hours, budgets and invoices: that needs a system of record. AI agents add the preparation work around it, such as proposals and meeting briefs, and read from the PSA to do so.
Is PSA software only for IT service providers?
No, but part of the market is. ConnectWise, Autotask and HaloPSA serve IT providers with ticketing; Ruddr, Productive, Scoro, Kantata and Rocketlane serve consulting and agency teams.
