- Where it gets stuck
- Your ledger software flags the missing bank receipts, but the stock count, the loan statement at the year-end date, the aged debtors and creditors and the invoices not yet received are chased one email at a time. The manager only sees the full gap when the deadline is close.
- What the workflow does
- Starting from the year-end checklist you already send, one list per client shows what has arrived and what is still open, including suspense accounts to clear, across the ledger, Dext and the inbox. The reminder is drafted in the firm’s tone, and the manager approves it before it goes out. Nothing is posted to the ledger, and the same list chases the payslips, dividend vouchers and rental statements behind personal tax returns.
AI for accounting firms
The year-end file is due in ten days, and the client has sent eleven of the forty items you asked for.
One list of everything each client still owes you, a reminder your manager approves, and a meeting pack so the partner no longer rereads everything the night before. We start from what Xero, QuickBooks and Dext already hold, by connection or export, and reminders leave from Outlook.
Three jobs around the numbers still run by hand in many accounting firms, and AI for accounting firms is built around them: chasing year-end items, preparing client meetings and keeping permanent files current. AI Jungle installs these workflows in your existing software, nothing reaches a client without the manager’s or the partner’s sign-off, and bookkeeping judgments, tax positions and signed accounts stay with your accountants.

Three moments when an accounting firm still carries the work by hand
Each comes back every month or at every year-end, relies on records the firm already holds and ends with a decision by the manager or the partner.
Year-end waits on items nobody has listed in full
The client meeting is prepared the night before
- Where it gets stuck
- Before each year-end meeting, someone rereads last year’s accounts, the review file and a year of emails for the movements worth explaining and the questions to ask. In busy season it is the partner, late, once per client.
- What the workflow does
- A meeting pack is prepared from the trial balances for this year and last, and from the working papers: an analytical review by area (sales, purchases, payroll, fixed assets) with the significant movements on last year, the suspense accounts, the open points and the questions the client raised during the year, each linked to the account and working paper concerned. The partner decides what to say and what to advise.
Each client’s quirks live in one manager’s head
- Where it gets stuck
- The recurring adjustment, the director who answers only by phone, the scope agreed three years ago: when the manager leaves or the file changes hands, the partner gets the questions.
- What the workflow does
- The permanent file is kept current from engagement letters, notes and closed year-ends, with the date and source of each point, so a new manager can read how the file runs before asking anyone.
Which flow should you start with?
Three questions, about a minute. The answer points to one of the moments above, or to a smaller step when a workflow would be too much.
Answer the three questions to see where to start.

No. The workflow reads the ledger and documents your firm already keeps, prepares a list or a draft and puts it back where your team works, once the manager or the partner has approved it.

Three conditions before anything acts
Your existing tools
The workflow runs inside the tools you already pay for, with the access rights they already have, so the team keeps its usual screens.
A named person approves
Every draft waits for a named person. Nothing goes out in the firm’s name without that approval, and exceptions go back to a human.
Every step leaves a trace
Sources, drafts, corrections and approvals are recorded, so you can see why an output was prepared and improve the next one.

No accounting firm client yet: our only published case is an executive search firm
AI outreach case study: Asia-Connect. Documented outreach at Asia-Connect over three months. One client and one workflow; results depend on context and execution.
“In the last three months, the agent helped me to book more than 90 qualified meetings with executives I would never have had time to reach, and I approved every single message before it went out. It works while I am in meetings.”
At Asia-Connect, the partner approves every message before it is sent. With an accounting firm we would start with a test: after a first call, you send last year’s trial balance without the customer and supplier ledger accounts, and the year-end checklist for one client, under a confidentiality agreement signed first and with the client’s name replaced by a code, so there is nothing else to anonymise. We list every item we would have requested, including loans, director’s loan and suspense, and draft the first reminder for the date you normally start chasing. Your manager scores each item right, missed or wrong in about an hour, after your filing peak if you prefer, and you keep that score whether or not you go ahead. Read the case study
Questions accounting partners ask before a call
Which accounting firms is this for?
Owner-led accounting, bookkeeping and outsourced finance firms where partners and managers still chase year-end items, prepare client meetings and answer questions about files themselves. The workflows cover that work around the numbers, not the review judgment itself.
Xero, Dext and Karbon already chase missing items. What do you add?
Keep them: they flag missing bank receipts and send client requests well. The workflow adds the year-end items they do not always track, such as stock counts, loan statements, director’s loan confirmations and suspense accounts, and gathers everything in one list per client when a file runs across several tools. If your review software already produces the analytical review, the meeting pack starts from it and adds the questions the client raised during the year, taken from emails and the permanent file.
Can you connect Xero, QuickBooks or our practice management tool?
Usually, through the connections and access rights those tools already offer, and trial balances and working papers come from your accounts production software (IRIS, CCH, Silverfin, CaseWare or Excel) by export. When a system has no usable connection, that step works from an export or stays manual, and the assessment says so before anything is built.
Where does our clients’ financial data go?
Before anything is built, a data processing agreement is signed and you receive the written list of every system that will read client records, limited to the mailboxes and folders you name: where it is hosted, which model provider processes the text, and whether that provider keeps it or may train on it. Your firm checks that list against its engagement letters and confidentiality obligations, and any step that does not pass stays manual. Each deployment is isolated from every other AI Jungle customer.
What should we start with?
Usually year-end chasing: it repeats for every client, the checklist already exists in your year-end templates and a manager sees quickly whether the list is complete. Use the selector on this page, then bring one example to a 30-minute call.
Who is responsible if a reminder or a pack is wrong?
Your firm and the partner who signs off, exactly as for anything your firm sends today, which is why nothing goes out unapproved. The contract sets out in writing what AI Jungle answers for, and we give you wording to check with your professional indemnity insurer and to add to your engagement letters.
How much does it cost?
Prices are published on the AI Jungle pricing page and depend on the scope. A paid scoping study of your work and tools comes first (our Leverage Assessment), its fee is credited toward the build if you go ahead, and it can conclude that a smaller change is enough.
In 30 minutes, we pick the closed year-end to test together.
You then send that client’s trial balance without the customer and supplier ledger accounts, and its checklist, under a confidentiality agreement signed first. By the end of the call you know what to send and when you get the result back, and the test terms are confirmed in writing before you send anything.
